Managing customer feedback effectively often requires collaboration.
The Team Member Management feature allows you to invite colleagues, assign roles, and control which locations they can access — all from one central area.
This ensures the right people manage the right locations without unnecessary access to sensitive account settings.
Why It Matters
As your business grows, so does your team.
You may have:
- Location managers
- Marketing staff
- Customer service teams
- Regional directors
- Business owners
Without structured access control, managing responsibilities becomes inefficient and risky.
Team management allows you to:
- Delegate responsibilities
- Maintain account security
- Prevent information overload
- Keep review management organised
Accessing Team Settings
- Go to Settings
- Click Team
Here, you will see:
- Existing team members
- Their assigned roles
- Their permitted locations
Adding a New Team Member
Step 1: Click the Plus Button
This opens the add member form.
Step 2: Enter Basic Information
Add:
- Full name
- Email address
Ensure the email is correct, as it will be used for login and notifications.
Choosing the Right Role
You can assign one of two roles:
Owner
Owners have full access:
- All locations
- Account settings
- Team management
- Integrations
This role is best suited for business owners or senior managers.
Staff
Staff members:
- Access only assigned locations
- Cannot manage global account settings
- Focus on specific branches
This role is ideal for store managers or local review responders.
Use the Owner role sparingly.
Managing Location Access
For Staff members:
- Select the specific locations they can access
- Tick the relevant locations from the list
They will only see reviews, analytics, and settings for those selected branches.
Access can be adjusted at any time.
Sending the Invitation
You can either:
- Send an automatic welcome email (recommended)
- Disable the email and manually share the invite link
Both methods provide the same access level once activated.
Language Preferences
You may choose the user’s preferred language.
This ensures:
- Easier onboarding
- Clear navigation
- Better usability
Select the appropriate language from the dropdown menu before saving.
Completing the Setup
After entering:
- Name
- Role
- Location access
- Invitation method
- Language
Click Save to grant access.
Best Practices
- Assign Owner access only to senior leadership
- Use Staff roles for most team members
- Review access permissions quarterly
- Remove access immediately when staff leave
- Keep location responsibilities clearly defined
Common Mistakes
- Giving all users Owner access
- Forgetting to restrict location visibility
- Using incorrect email addresses
- Not reviewing permissions regularly
- Overcomplicating access levels
